Privacy Policy

1. Who we are

This website, zaeer.events, is run by ZA'EER Music Entertainment ("ZA'EER", "we", "us"), Doha, State of Qatar. We decide how the personal data collected through this website is used, so we are its controller for the purposes of Qatar's Law No. 13 of 2016 on the Protection of Personal Data Privacy (the "PDPPL").

2. What we collect

When you request a guest-list spot

Your full name and email address.
Your WhatsApp number, if you choose to give it.
The number of people in your group and the full name of each guest.
Your confirmation that everyone in the group meets the minimum age and will bring ID.
The night you asked for, your booking reference, its status (requested, approved, declined or cancelled) and when each of those happened.
The IP address the request came from, to stop automated and abusive bookings.

When you apply to play

Your name, DJ name, email address, WhatsApp number, city, Instagram handle (optional), genres, experience, preferred slot and anything you write in the notes.
A link to your mix, or the WAV file you upload, including its name, size and length.
The IP address the application came from.

When you email us

Your email address, your message and anything you attach. Emails to hello@zaeer.events and takethestage@zaeer.events are delivered to the ZA'EER team's mailbox.

On your device

When you book, this website saves your booking details (reference, name, guests and a private link to manage the booking) in your browser's local storage, so the site can show you your booking next time. This stays on your device; you can clear it at any time by clearing this site's data in your browser. We don't use advertising or analytics cookies, tracking pixels or third-party trackers. The only cookie we set is a sign-in cookie for the ZA'EER team's admin page.

Technical data

Like every website, our hosting provider receives technical information when you visit, such as your IP address, browser type and the pages requested, and keeps it in short-lived logs for security and to keep the site running.

3. Why we use it

We only use personal data for these purposes, and only with your consent or where it's necessary for a legitimate purpose permitted by the PDPPL:

Running the guest list: reviewing requests, deciding who is admitted, sending your request receipt, confirmation, calendar invite and any changes, and checking names at the door.
Contacting you about a night you've booked: for example changes to times, the lineup or the venue.
DJ applications: listening to your mix, deciding whether to book you and getting back to you.
Safety and security: preventing spam, fake bookings and abuse, and keeping the venue safe.
Legal reasons: meeting our legal obligations and responding to lawful requests from Qatari authorities, and establishing or defending legal claims.

We do not sell personal data, use it for advertising, or send newsletters or marketing. If we ever want to send you marketing, we'll ask for your permission separately first.

Your guests' details

If you add other people to your booking, you confirm that they have agreed to you giving us their names for this purpose and that you've told them about this policy.

The venue. For each night, the venue's door and security team (currently Black Orchid at Mondrian Doha) receives the list of approved guests: names, group size and booking reference. They use it only to manage entry.
Our service providers, who process data only on our instructions: Cloudflare (website hosting, database and file storage), Resend (sending emails) and Google Workspace (the ZA'EER team mailbox).
Authorities, where Qatari law requires us to, or where it's necessary to protect someone's safety.
A successor, if ZA'EER's business is transferred, subject to this policy.

The ZA'EER team members who run the guest list and bookings can see the details above. Access to our admin page is password-protected.

5. Where it's stored

Our service providers run global infrastructure, so your data may be stored or processed outside Qatar, including in the European Union and the United States. We only use providers that commit to protecting personal data, and data is encrypted in transit. By using this website you agree to that transfer, which is made for the purposes in section 3 and in line with the PDPPL.

6. How long we keep it

Guest-list bookings are deleted automatically 90 days after the night they were for.
IP addresses stored with bookings and applications are erased automatically after 30 days.
DJ applications, including uploaded WAV files, are deleted automatically 12 months after you apply. If we book you, we keep your contact details for as long as we work together.
Our record of emails sent is deleted automatically after 90 days.
Emails you send us stay in our mailbox for as long as they're useful for answering you, and no longer than 24 months.

We may keep data for longer only where the law requires it or where it's needed for a legal claim.

7. Security

The website is served only over HTTPS. Links to manage a booking or download a mix are signed so they can't be guessed, the admin page is password-protected and rate-limited, and only the people who need the data can see it. No system is perfectly secure, but if a breach is likely to cause you serious harm, we'll tell you and the relevant authority as the PDPPL requires.

8. Your rights

Under the PDPPL you can:

ask whether we hold data about you and get a copy of it;
ask us to correct data that's wrong or incomplete;
ask us to delete your data;
withdraw your consent, or object to us using your data, at any time;
be told how your data is used and who it's shared with.

You can cancel a booking at any time with the link in your confirmation email. For anything else, email hello@zaeer.events (guests) or takethestage@zaeer.events (DJs) from the address you used. We may need to confirm it's you, and we'll reply within 30 days. Withdrawing consent or deleting your data before a night means we can't keep you on that night's guest list.

If you're unhappy with how we've handled your data, please tell us first so we can put it right. You can also complain to the National Cyber Security Agency's Compliance and Data Protection department in Qatar, which oversees the PDPPL.

9. Age

Our nights are for adults who meet the venue's minimum age (currently 21). This website isn't meant for children and we don't knowingly collect data from anyone under 18. If we learn that we have, we'll delete it.

10. Changes to this policy

We may update this policy, for example if the law or our services change. The current version is always on this page with its effective date. If a change significantly affects how we use data we already hold, we'll tell you by email.
